Vitamina C (hereby also indicated as “we” or “VC”) is a PR, Media relations and Communication agency, with a specialization in outdoor sports, outdoor goods (notably: running, trail running, cycling, biking, skiing, hiking, camping and rambling). We might as well provide our services in the fields of telematics for vehicles, pieces of furniture and design wares.

The information you provide will be subject to rigorous measures and procedures to minimize the risk of unauthorized access or disclosure, with secure data systems scrutinized regularly. Please note that in some cases we may carry out the activities referred to in this Policy in our capacity as a data processor acting on behalf of our clients.

  • Personal data provided or received from third parties. From time to time, we may receive personal data about you from third parties. For example, we may receive your contact details from an industry contact or from our clients or we may receive your CV or resume from a recruitment service provider or via LinkedIn (www.linkedin.com ). We may also use third parties to collect personal data about your interactions with our site.

NOTE: This note is specific for the media, is related to media queries, media monitoring, newsletter campaigns reporting, media events and media related information we might handle.

 

  • We may collect personal data about journalists, client contacts or industry contacts for interviews requests, for media questions, or requests for information about us or about our customers. Personal data can also come from signing up to our newsletters or to receive copies of our customers press releases and/or media specific assets and other information that we can make available, on behalf of our customers or with the purpose to ensure that we provide the services requested by our clients and/or by you in the most effective and efficient way and that we provide the right information to those who request it.

 

  • As part of our service to our clients, we may monitor media sites and this might also include social media sites and pages, with the purpose to collect information about individuals from these sites or to be kept up to date on some specific topics or to check what has been published/written/said/reviewed/tested about us and/or about our customers and their products and/or services. Further to that, we may collect and/or review and/or monitor other publicly available news, stories or other journalistic content including content made available through public news sites and social media sites to understand what people are saying about us and our clients. We use the aforesaid information to provide our services to our clients. We may also use this information to contact those individuals to discuss our clients’ goods, needs and/or services.  We may also use this information for our own internal administrative and promotional purposes.

 

  • As part of our services to our clients, we may also collect information  about individuals through third party providers such as, for example via Mail Chimp, with newsletters or emails (www.mailchimp.com), or directly from the individual or through social media or other media outlets. We might check or collect details and opinions on how a client campaign was received or other feedback about a newsletter campaign.

 

  • As part of our services we might, from time to time, organize, manage or host media events, press conferences, road shows, media visits, media launches and product launches, and/or other industry events, either to promote our services or on behalf of our clients. For this purpose, we may process individuals’ names and contact information that might include sensitive data; if relevant, we may also collect and process any dietary or other specific personal requirements that attending guests may have formulated or communicated to us during the events’ registration process. We collect all these data with the purpose to communicate with these individuals about such events or to ensure their attendance and participation or registration to such events or to organize their travel to the venue, or for the purpose of their board and lodging while at the event, or because they have specifically requested information about such events or because we have lawful basis.

 

  • You may also feature in photographs taken at the aforesaid events and such photographs might appear in publications/documentations we send to our clients and/or might be published on our site, in print or other media. If you do not wish to be photographed and/or if you do not wish that we share photographs of you while at the afore mentioned events you should inform us immediately at the event. We will always ask for your consent prior to taking a picture of you.

  • From time to time we may carry out marketing activities using an individual’s personal data.   We may use his/her information to provide him/her with marketing information about our events and services. We may also provide individuals with information about media and public relations events we organized.

 

  • As part of our services, we also maintain a database of curricula which might include sensitive data such as – but not limited to - contact details, biography, dietary requirements, and personal preferences of individuals. We may use this information for the purpose of selecting talents for a particular PR project, or for recruitment purposes, for jobs or internships and/or for collaborating and/or working with that individual.  We may obtain this information directly from the individual or via third party recruiters or publicly available sources such as LinkedIn (www.linkedin.com ) or the Universities or on jobs- or recruitment platforms.

 

 

WHY DO WE NEED YOUR DATA?

We will only process and/or collect personal data where we have a lawful and valid reason for doing so, such as:

  • The processing and or collecting is necessary for the performance of a contract we have with you or in order to take steps at your request

  • The processing is necessary to comply with our legal obligations

  • You have consented to us holding such data for purposes agreed with you

  • The processing or collection is necessary for the pursuit of our legitimate business interests

WHO MIGHT WE SHARE YOUR DATA WITH?

We may share the personal data we collect, with (but not limited to) the following third parties: our clients, affiliates, our staff and or collaborators (including freelancers we might hire for specific customers’ PR projects) media partners, third party suppliers (such as, but not limited to, our IT providers our Bookkeeping or Administrative Consultancy suppliers or Travel Agencies or Airlines/Train/Bus/Car hiring companies we might use or our clients might use to organize your media trip and attendance to an event or launch, or Event Planners and Events Organizing Agencies) or any other professional advisers we might need to execute or provide our services.

 

Any third parties that we may share your data with are obliged to keep your details securely, and to use them only to fulfil the service required. When they no longer need your data to fulfil this service, they will dispose of the details according to in force laws and regulations in terms of Privacy and Personal Data management.

 

If we pass your sensitive personal data onto a third party we will only do so once we have obtained your consent, unless we are legally required to do so.

 

Vitamina C will process personal data in accordance with the current EU GDPR laws and regulations for all the time that it is still lawful and valid to do so. Your data will be safely stored by Vitamina C for varying periods, after which your data are deleted from our systems.

We have taken all reasonable measures to make sure personal data you provide to us are secure and we will take reasonable precautions to protect your personal data from loss, misuse or alteration.

The data saved in servers is recorded on separate media so to avoid any inadvertent erasure, destruction or loss otherwise. The servers’ access is protected by passwords and from unauthorized personnel and response systems. All of our employees and collaborators or data processors who might have access to or are associated with the processing of your personal data, are obliged to respect the confidentiality of the personal data of all users of our services.
